Finance Assistant                                                                                      

Exempt:                       No
Hours:                          20 hours per week
Salary:                          $10-12/hr
Supervisor:                  Finance Director        

GENERAL SUMMARY: 
The Finance Assistant will provide direct support the Finance Director in day to day activities.   Primary responsibilities include general administration, bookkeeping and assisting with payroll.  Positive attitude, attention to detail and the ability to learn quickly are essential skills for this role. 

SUPERVISION RECEIVED/EXERCISED:
The Finance Assistant will work under the supervision of the Director of Finance providing daily support in all areas of the financial interest of the organization.  She/he will also provide support to the Clinical Director as needed. 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Data Entry
  • Collect and total time sheets every other week.
  • Prepare invoices, reports, memos, letters, using Microsoft’s suite of Office Software including Word and Excel, Quickbooks, Outlook, spreadsheets, database, or presentation software.
  • Prepare A/P invoices for payment, verify authorizations received and all documentation present.  Research outstanding balances on vendor statements.  Filing as needed.
  • Assist with A/R and collections as needed.
  • Other duties as assigned

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES

REQUIRED

Abilities - Excellent time management skills.  Ability to apply critical thinking skills  Daily use of Accounting software. Previous experience creating  forms and documents, using Outlook, Word, Excel, Internet (for research) and working in a networked environment.  Ability to use and maintain a fax machine, copier, scanner and previous experience working with filing and filing storage systems.  Able to lift and move storage boxes up to 20#.

Clerical — Knowledge of administrative, clerical and bookkeeping procedures and systems such as word processing, accounting systems, managing files and records,  transcription, designing forms, and other office procedures and terminology.

Bookkeeping —Background in A/P, A/R and payroll.

English Language — Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Excellent written and oral communication abilities. 

Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

Minimum Education, Experience and Licensing Requirements
Firm commitment to the mission of Florence Crittenton.  Requires 2-4 years of administrative/bookkeeping experience or equivalency of 4 years experience and education.  A valid driver’s license, satisfactory background check and a health statement are required for all employees at the Florence Crittenton Home.  After qualifying period, benefits include:  payment toward single rate health insurance, retirement, vision and dental available, paid vacation/holidays, sick leave, and personal time, all based on number of hours worked per week.  Florence Crittenton will also require a satisfactory credit check on successful applicant.Â
